Actiolife takes the security of event and guest data seriously. Here is exactly what we do to protect it β and what happens to it over time.

What data Actiolife collects
Actiolife collects two categories of data:
Event organizer data: account information, event details, guest lists uploaded or registered through the platform, campaign content, and event analytics.
Guest data: name, surname, email address, phone number, company, and title β collected either when an organizer uploads a guest list, or when a guest registers themselves through an open registration form.
All data is collected for a specific purpose: to enable organizers to manage their events and communicate with their guests. Data is never used for advertising, never sold to third parties, and never shared outside the platform without explicit consent.
How we protect your data
Encryption in transit
All data exchanged between your browser or app and Actiolife servers is encrypted using HTTPS and TLS protocols. No data travels in plain text.
Encryption at rest
Guest and event data stored on our servers is encrypted at rest. Even in the unlikely event of unauthorized server access, data is unreadable without the decryption keys.
Access control
Each organizer can only access data belonging to their own events and guest lists. No organizer can view another organizer's data. Within Actiolife, access to production data is restricted to authorized personnel only.
Regular backups
Event and guest data is backed up regularly to ensure it is never lost due to technical failure. Backups are also encrypted and access-controlled.
Security testing
Actiolife systems undergo regular security assessments to identify and address potential vulnerabilities before they can be exploited.
Your data is yours alone
Every organizer account on Actiolife operates in complete isolation from other accounts. Your guest lists, event details, campaign data, and analytics are visible only to you and the team members you authorize.
Actiolife staff can access organizer data only when explicitly required for technical support β and only with the organizer's knowledge. No cross-account data access is possible under any circumstance.
What happens to data after your event
Actiolife retains full guest records for 90 days after the event date. This gives organizers time to access post-event reports, export data, and complete any follow-up they need.
After 90 days, guest records are automatically anonymized:
Deleted: guest name, surname, email address, phone number, and any other personal identifiers.
Retained (anonymized): company name, RSVP status, attendance status, and session data β used only for aggregate statistical reporting.
If an organizer deletes their account before the 90-day period, all associated guest data is deleted immediately and permanently.
After 90 days: names, emails, and phone numbers are deleted. Only anonymized attendance statistics are retained.
Your rights under KVKK (Law No. 6698)
As a data subject under Turkish data protection law, you have the following rights regarding your personal data processed through Actiolife:

You have the right to know whether your personal data is being processed.

Right of access
You have the right to request information about what personal data is held about you.
- 3.
Right to rectification
You have the right to request correction of inaccurate or incomplete personal data.
- 4.
Right to erasure
You have the right to request deletion of your personal data where it is no longer necessary for the purpose it was collected.

Right to object
You have the right to object to the processing of your personal data in certain circumstances.

Managing your email preferences
Every email sent through Actiolife contains an unsubscribe link. Clicking it takes you to a simple preference management page where you can control which emails you receive.
If you received an event email
- β’ Unsubscribe from emails for that specific event only
- β’ Unsubscribe from all emails sent by that event's organizer
If you received an Actiolife system email
- β’ Unsubscribe from Actiolife system emails
How your unsubscribe request is handled
- β’ Your request is processed within 10 business days.
- β’ Your personal data is protected under KVKK Law No. 6698.
