Actiolife

Online Registration

Design your own registration form. Actiolife handles the rest.

Unlimited fields, custom field types, and flexible approval flow. Every registrant flows directly into your guest list β€” invitation sent automatically, ready for RSVP and check-in. Publish on an Actiolife page or embed on your own site via iframe.

Two modes, one guest list

Whether you share a link or embed a form, every registration ends up in the same place β€” your Actiolife guest list. No imports, no manual transfers, no duplicate records.

Share a link

Actiolife-hosted registration page

Optionally publish an event page under actiolife.com. The page presents your event details and β€” if you choose β€” embeds any of your forms inside it, so visitors can register or answer surveys without leaving the page.

Embed on your site

iframe form for your own website

A clean, minimal form with no header, no footer, no Actiolife branding. Designed to be embedded into your own event page via iframe. It inherits naturally into your site's design. One code snippet, paste and done.

Build the form your event actually needs

Every event is different. Actiolife's form builder lets you create a registration form with exactly the fields you need β€” no more, no less. Give the form a name, add fields one by one, choose the field type for each, and publish.

Ready-made fields

Structured

Email

Validated email field. Used to send confirmations and invitations.

Phone

Phone number field. For SMS notifications and on-site contact.

Company

Company name. Appears on the guest record and reports for corporate events.

Title

Job title / position. Shown on the badge and in attendee lists.

As many custom fields as you need

Flexible

Short text

Single-line text input. Names, short answers, anything you need.

Long text

Multi-line area for notes, dietary preferences, special requests or open-ended questions.

Single choice

Pick one option. Great for meal choice, session preference or T-shirt size.

Dropdown

Pre-defined list. Saves space versus radio buttons when there are many options.

Multi-select

Allow more than one option, e.g. "Which sessions will you join?". Selections are stored as a comma-separated value.

Each field can be marked as required or optional. Fields can be reordered at any time before publishing. Unlimited fields per form.

You're always in control

Set a capacity limit

Define the maximum number of registrations. When the limit is reached, the form closes automatically. No manual monitoring needed.

Close registration anytime

Need to stop registrations before hitting capacity? Close the form with one click from your dashboard. The form immediately shows a closed message to visitors.

Watch registrations come in live

Your organizer dashboard updates in real time as registrations arrive. See who just signed up, export the full list as Excel or CSV at any time.

Set a closing date

Define a specific date and time when registration closes automatically. The form stops accepting new submissions at exactly that moment β€” no manual intervention needed.

What happens after registration

The visitor sees an instant confirmation that their submission was received and can register additional people from the same form. How the registration enters your guest list depends on one of two options β€” and either option can automatically trigger a pre-defined email or SMS notification you've set up beforehand.

Optional

Auto notification β€” in your own words

If you attach an email or SMS campaign to the form, it goes out to the registrant the moment they submit. The wording is entirely up to you: "Your registration has been received, your QR-coded invitation will follow shortly." β€” or "Your application has been received, we'll get back to you after review." The tone and content are shaped by you, the organizer.

How should the registration land in your guest list?

Add to the guest list automatically

The visitor lands directly in your guest list as an approved entry. No review, no waiting. Ideal for open events and public sign-ups.

Hold for approval

The registration enters a pending queue; only the ones you approve are moved to the guest list. Ideal for capacity-limited or VIP / invitation-only events.

Multiple forms for the same event

You can create multiple registration forms for a single event. Each form is independent β€” it has its own fields, its own approval workflow, its own closing date, and its own confirmation message.

Use cases: β€” A public form for general attendees and a separate form for press or VIP registrations β€” A first-round form collecting basic details, followed by a second form for session selection β€” Different forms for different ticket categories or event days

Each form generates its own Actiolife-hosted page and its own iframe embed code. Share or embed them independently.

General + VIP forms

Different forms, different approval flows, same event.

Multi-stage registration

First form collects basics. Second form handles session or preference selection.

Embed anywhere

Each form has its own iframe code. Embed on any page of your website independently.

Manage submissions with ease

Even if you run multiple forms, every submission lives in one panel without getting mixed up. Filter by form, view field-by-field, approve in a single click.

Filter by form

View each form's submissions separately. Jump straight to the right list with a single click from the form designer card.

Field-aware dynamic columns

Pick a form and each field becomes its own column in the table. Multi-select answers appear in a single cell, comma-separated.

One-click Excel export

Download the full list or the filtered view. Form field labels become the spreadsheet headers automatically β€” no copy-and-clean step.

Duplicate registration warnings

If someone is already registered with the same email or phone, you get a heads-up at approval time. The system tells you which existing guest matches; you can still create a new entry if you want.

Approve β€” straight into the guest list

Review pending submissions and click Approve. The person lands instantly in your guest list, ready for invitations, RSVP and check-in.

Submissions management β€” form filter and dynamic-column table

View each form's submissions in its own list, field by field.

Registration is just the beginning

Every registrant automatically becomes a guest record in Actiolife. From that moment, the full platform is available: send a confirmation, follow up with an invitation, collect RSVP, and check them in on event day.

1

Confirmation email sent automatically

The registrant receives a branded confirmation email the moment they submit the form. No manual action needed.

2

Approval & confirmation

Depending on the form's approval setting: the registrant is added instantly, held for your review, or added and sent their digital invitation automatically.

3

Ready for invitation & RSVP

Add the registrant to an invitation campaign or RSVP flow with one click. Their data is already there.

4

Check-in on event day

The registrant receives a QR code. On event day, staff scans it. Badge prints. They enter. All tracked.
